This new version of the "Volta Medical Personal Data Protection Policy" introduces various additions and modifications, the main ones of which are listed below. This policy is effective July 2nd, 2026.
This Privacy Policy applicable to External Candidates describes all the data processing that we may potentially carry out as part of our recruitment and application management processes. For complete information on the characteristics of the processing we carry out, and also on your rights and how to exercise them, you are encouraged to consult the information contained in Volta Medical's General Data Protection Policy.
If you are a candidate, the categories of personal data that we are likely to collect directly or indirectly to fulfill our recruitment purposes are the following:
As data controller, we process the data collected when you submit your application not only in order to manage it efficiently, but also in order to manage and optimize our pool of candidates may be contacted and later recruited following submission of their application.
When you are an external candidate (or a potential candidate) for a position within our company, the processing operations we carry out include the following: Collecting, receiving, recording, sorting and filing of applications, including résumés and cover letters submitted by regular mail and email; Searching for and identifying relevant profiles in Volta Medical's candidate database and on professional social networks; Creating an online contact database to contact the persons identified, including candidates and others recommended by the candidate; Managing recruitment procedures in consultation with the superiors of the staff to be recruited; Processing information collected during telephone, in-person, or video interviews; Analysis of applications and evaluation/assessment of professional skills and competencies in order to assess candidates' suitability for the position in question, specifically by obtaining references from third parties recommended by the candidate; Documenting Volta Medical's actions as part of the recruitment process; Filing the various information and documents collected; Responding to job applicants; Fulfilling mandatory legal formalities; Adding successful candidates to the administrative file; Developing a pool of professionals likely to be recruited
The legal basis depends on the context of the intended processing. When you agree to be included in our applicant database, Volta Medical's data processing is based on your consent. You may decide to withdraw your consent at any time under the conditions outlined in the tab "What are your rights regarding the processing of your data and how can you exercise them? " of Volta Medical's General Data Protection Policy.
When a candidate is selected for the position offered, the legal basis for the processing carried out is the performance of a contract or pre-contractual measures.
Other processing is based on Volta Medical's legitimate interest in processing your data after balancing its interests with your own interests, rights, and fundamental freedoms. The following aspects of processing are based on Volta Medical's legitimate interests:
We have carried out a legitimate interest assessment in order to verify that our interests are not being superseded by your interests or fundamental rights and freedoms. You can request access to this assessment by contacting the company's DPO using the contact information provided in the "Contact" tab of Volta Medical's General Data Protection Policy.
1st situation - You have submitted your application materials, but we have not contacted you: To the extent possible, we will inform you that you have not been selected. In any event, you can exercise your rights under the GDPR directly on the Recruitment Platform or by emailing us at hr@volta-medical.com. If at the time of your initial login you consented to our retention of your application, we will keep your file in our recruitment platform for two years from the date of your consent in order to be able to offer you new opportunities. If you have not agreed to us keeping your application file, your data will be archived in an isolated and secure space and kept for evidentiary purposes for a period of 5 years from the date on which the position was filled.
2nd situation - You have sent us your application documents, you have participated in the recruitment process but we have not entered into a contract with you: we will inform you that you have not been selected. You can exercise your rights under the GDPR directly on the Recruitment Platform or by writing to us at hr@volta-medical.com. In the absence of a request for opposition or deletion, we keep the elements relating to your recruitment process for evidentiary purposes, in particular, your CV, cover letter but also the relevant elements collected during the previous recruitment process (such as interview reports, evaluations, references, etc.). If at the time of your first connection to the recruitment platform you have consented to us storing your application file, your data will be kept for two years to offer you new job offers (the information collected during previous recruitments will also be used). The two-year period begins on the day you consent to be included in our candidate database. However, the data collected is also kept for evidentiary purposes for a period of five years from the date on which the position was filled.
3rd situation - Should we enter into a contract with you, we will retain your personal data for the duration of our contractual relationship, plus 5 years after the end of your employment contract. Should any dispute arise from the employment relationship, the data will be retained for the duration of the dispute, plus the statute of limitations.
As part of the application processsubmissions made via our website, we use candidate management software published by the company Lever Inc. The data entrusted to this company is stored and backed up in the European Union. Volta Medical and Lever have implemented appropriate safeguards to govern any transfer of data to countries outside the European Union. Lever Inc. may use cookies and other trackers when you use its applicant monitoring platform. Your file is handled confidentially. Only Volta Medical employees involved in the hrecruitment process will have access to the personal data contained in your file. These may be human resources staff, the hierarchy of the future employee (HRD, Director, Managers), colleagues involved in the recruitment but also people external to Volta Medical under contract and participating in the recruitment.
In the event that you are hired, the human resources department will be required to transmit some of the information collected to the agencies and organizations that must be informed of your hiring (specifically unemployment insurance, health insurance, retirement, mutual insurance).
In order to meet our hiring purposes, only personal information that is strictly necessary to assess your suitability for the job offered or to evaluate your professional skills will be requested as part of the selection phase.
To this end, we will ask you for details relating to your identity and contact information, any degrees or certificates you have earned, your professional experience, your professional skills and aptitudes relating to the position offered, and your desired terms and conditions of employment (such as desired salary). Providing this information is a prerequisite for entering into any employment contract. It will not be possible to participate in the hiring process if this information is not provided.
We may also ask you to provide us with contact information of one or more individuals to serve as references so that we can contact them and assess your professional skills. Providing the contact information for your reference(s) is not mandatory and has no impact on your application. Before providing us with this information, you must first verify that the referee agrees to us contacting them and to process information about them and their relationship with you regarding your professional skills.
In the event that your application is selected for the conclusion of a contract, we will ask you for the information and supporting documents necessary to complete the mandatory formalities. The transmission of this information is a condition for the conclusion of the employment contract for the successful candidates. In addition, the communication of certain categories of information and supporting documents (civil status, home address, social security registration number, regularity of the residence permit, last diploma obtained, bank identity details, etc.) is of a regulatory nature for successful applications. Consequently, the failure to provide this data will make it impossible to conclude the employment contract.
The data is transmitted to us directly by you by means of documents that you send to us by paper or electronic means or during interviews with you or during tests intended to assess your ability to fill the job offered. Your data may also come from other candidates or an employer who recommends you, recruitment professionals (firm, headhunters, etc.), educational institution directory, referees, your former employers, educational institution and/or publicly available sources (such as LinkedIn, CV websites and professional social media). With regard to information available from publicly available sources, persons whose profiles have been consulted and who do not arouse our interest will not be informed of this consultation due to the low impact of the processing on them (for example: simple consultation of directories or profiles on the professional social network). Conversely, where individuals in whom we take interest are concerned, we will only store data about you once we have contacted you and notified you accordingly. You may object to this at any time.
We may carry out data transfers to a country outside of the European Union in the framework of our operations. In this case, we will take all appropriate measures to ensure compliance with applicable regulations within the European Union. You may obtain a copy of these safeguards from our Data Protection Officer, whose contact details are specified in the “Contact ” section of Volta Medical’s General Data Protection Policy.
To facilitate the identification of previously unsuccessful applicants from earlier recruitment processes for new opportunities at Volta Medical, we employ an applicant sorting tool with an intelligent search function to bring up their applications. The tool creates a ranking to order the candidates proposed to the recruitment manager. The tool takes into consideration a weighted combination of different criteria, including scores from feedback forms, grades, reasons for archiving, previous job offers, progress in the previous hiring process, references, and origins of the application (internal, unsolicited, recommendation, etc.). The tool does not use demographic or directly identifying data. In any case, our decisions are always preceded by human intervention. The use of this tool is also complemented by a search for candidates in the candidate database by the hiring manager, using criteria selected by him/her.
Please note: We will only ask you for data that we need for our recruitment purposes. Please make sure not to provide us with extraneous data, including unsolicited sensitive data. The term "sensitive data" refers to any information revealing an individual's claimed racial or ethnic origin, political opinions, religious or philosophical beliefs, or labor union membership, as well as any genetic or biometric data enabling them to be uniquely identified, as well as data concerning their health, sex life, or sexual orientation.
We may modify the content of this Policy at any time, following the evolution of our activities and/or in order to comply with our legal obligations. In the event of any amendments, these will be made and posted on the relevant pages of this Policy on our website. We recommend that you refer to these pages each time you visit our website. However, if the amendments to this Policy are substantial, we will draw your attention to this by publishing a disclaimer on our website.
